Student clubs/societies are required to fill out an Activity Approval Form at least 48 hours prior to the start of an event/activity (not later than Thursday evening for activities to be held on Monday, and no later than Friday evening for activities to be held on Tuesday). Please note that submission of the form does not lead to automatic approval of the activity in question. Once approval is granted, a confirmation e-mail will be sent.

If an event for which a Club or Society has received approval is to be canceled, the Student Activities Center must be notified as soon as possible with the help of Activity Cancellation Form.

Clubs/societies are required to fill out an Information Form to submit their promotional text, logo, website and social media addresses.

Clubs/societies are required to fill out the General Assembly Results Notification Form not later than one week following their general assembly meeting.

Clubs/societies are required to fill out a Sponsorship Pre-Approval Form before proceeding to the contract stage for sponsorship income they plan to receive from companies outside Bilkent. If they receive a positive response to their request, they can move on to the contract phase.

Clubs/societies are required to fill out a Non-Bilkent Guest Notification Form for all non-Bilkent guests, whether speakers or audience members. It is the responsibility of the club/society organizing the event to check the accuracy of the information entered.

To be reimbursed for previously approved expenses related to a club activity, clubs/societies must submit relevant information and documentation by completing an Expenditure Notification Form.

Clubs/societies are required to fill out an Activity Financial Status Report Form to provide a summary of all expenses and income related to an activity. This form is to be used for major activities; please ask the Student Activities Center if this form is required for your activity.

Clubs/societies can use the Notification and Request Form to provide notice to or request information from the Student Activities Center.

Students who wish to establish a new club/society must complete the Application Form for Establishing of a Club/Society. The applications are accepted at the end of the academic year. Check the calendar.

Bilkent University Student Club/Society Logo:  Student clubs and societies are required to include the Bilkent University Student Club/Society Logo on the home page of the club/society’s website and its social media accounts.
